How to Create a ‘Virtual Event’ Listing

A “virtual event” includes any type of event or activity that takes place online and does not have a specific physical location for attendance or participation. This may include such services as Facebook Live, Zoom, Youtube, and Vimeo and may include such events or activities as live performances, classes, lectures, and virtual tours.

Creating a ‘Virtual Event’ is very similar to creating a standard location-based event on our calendars. In this article, we’ll address the elements that differ. If you would like to know how to enter a standard location-based calendar event, please click here.

Entering a ‘Virtual Event’ that is Available 24hrs a Day

Our system requires date and times to be entered to publish an event, so if you would like to post about a virtual tour or other virtual event that is available 24 hours a day, follow these guidelines:

Step 1: Fill out the rest of the information in the Event Submission form.

  • Select ‘Virtual/Online Space’ from the Venue dropdown menu
  • Select the category ‘Online/Streaming’

Step 2: Enter the date range this Virtual Event will be offered for and check every day of the week.

Step 3: Enter the time as Start Time: 12:00 AM, End Time: 11:55pm. Click ‘Apply to All’.

Step 4: Check the calendar to ensure all the dates you want are marked.

For Ongoing Events: By default, the ‘ongoing’ date feature kicks in when an event’s date range is six months or longer. (Each site may choose to customize this range.) When you add your long range start and end date, the ongoing calendar will display a 7-day week view so you can easily add individual start/end times to specific days of the week. This works well for daily and weekly events lasting longer than 6 months.

Entering a Scheduled ‘Virtual Event’

Entering an event that will be streamed live on Instagram, Facebook or through any other channel, simply enter the event as if you were entering a standard location-based event, but for the Venue, use the dropdown menu to select ‘Online/Virtual Space’:

Select the category ‘Online/Streaming’, along with any subcategories that you would like:
